Who We Are
The Port Orford Community Co‑op ("the co‑op," "we," "us") operates this website at portorfordcoop.com. We're a community food co‑op in Port Orford, Oregon.
What We Collect
We collect information you voluntarily provide through our website forms:
Contact Form
- Name, email address, and your message
Membership Application
- Name, street address, mailing address, city, state, ZIP, phone number, email address
- Payment preference, household member names
- Communication and volunteer preferences
Volunteer Application
- Name, email, phone number
- Availability, interests, skills, and experience
Board Application
- Name, address, email, phone number, and preferred way to be contacted
- Employer, job title, type of business, and education
- Skills, awards or recognition, and any prior board service
- Why you'd like to serve and how you feel you'd benefit the co‑op
Bread Reservation
- Name, email, phone number
- Pickup week, what you'd like to order, and any notes you add
How We Use Your Information
We use the information you provide to:
- Respond to your questions and messages
- Process membership applications
- Match volunteers with available shifts
- Send you co‑op updates (if you opt in)
- Manage your membership account at the store
We do not sell, rent, or share your personal information with third parties for marketing purposes.
How We Store Your Information
When you submit a form, the information goes to three places: this website's own database (viewable by co‑op staff and board members through a password-protected administrator login), a private Google spreadsheet that only co‑op staff and board members can open, and an email notification sent to co‑op staff so someone sees your message promptly.
We keep backups of that database so we can recover from a technical failure. Backups are transmitted over a secure connection and held in private storage that isn't publicly accessible. Only the three most recent backups are retained; older ones are deleted automatically.
We take reasonable measures to protect your information, but no method of electronic transmission or storage is 100% secure.
Cookies and Tracking
We don't use advertising cookies, tracking pixels, or any tool that follows you around the internet. We don't build profiles of visitors, and we never sell or share visitor data.
We do use a privacy-focused analytics tool (Ahrefs Web Analytics) to see which pages are popular and how people find the site. It's cookie-free and doesn't identify you: it never stores your IP address, it can't recognize you from one day to the next, and it doesn't track you across other websites or devices. What it records is limited to things like which page was viewed, the site or search engine you arrived from, your browser and device type, and your country or city.
The only cookie this site sets is a login cookie for co‑op staff using the administrator area. Regular visitors are never given a cookie.
Third-Party Services
A few outside services help us run this website: an automation service that routes your form submission to the places listed above, Google Workspace (which holds the spreadsheet and delivers our email), and the hosting and storage companies that run the site and hold our backups. These providers handle the data only to operate the website on our behalf. We do not share your data with advertisers or data brokers.
Your Rights
You can request to:
- See what personal information we have about you
- Correct inaccurate information
- Delete your information from our records
- Opt out of email communications

When you ask us to delete your information, we remove it from our active records — the website database and the spreadsheet — right away. It may still exist in one of our recent backups, or in a staff member's email, for a short time afterward.
Children's Privacy
This website is not directed at children under 13, and we do not knowingly collect personal information from children.
Changes to This Policy
We may update this privacy policy from time to time. The "last updated" date at the top of this page will reflect any changes.
